Meeting Minutes for Month of October
By-Laws
⦁ Discussed the creation of By-Laws for the Organization
⦁ Determined that By-Laws would be available for review on website prior to the November meeting at which point they would be voted in and then opened to change
Board Members
⦁ Expressed the need for additional Volunteers to Fill integral positions within the Board and Organization - Secretary, Treasurer, Field Maintenance, Equipment, Fundraising, Web Site/ Social Media, Uniforms, and Concession Stand
⦁ Description of each position and related responsibilities will be placed on website and open to volunteers
⦁ Discussed the creation of "Turn Over Binders" in the future to assist those moving into available Board positions
Financial Status
⦁ Organization is in the positive - Further Details available upon request
Jersey Status
⦁ Gave update on status of Jerseys which was delayed due to supply shortages
⦁ Discussed the possibility of exploring additional options for suppliers/screen printers
⦁ Discussed sizing issues and recommended putting shirt sizes on player registrations and assessing fees if the sizing is wrong
⦁ Pant Sizing is an issue for some - discussed pros and cons of parents buying pants - Reiterated that there are samples available for individuals to try on when sizing events are held
Training/Clinics
⦁ Winter Workouts/ Pitching Clinics - Need to determine where they can be held *Additional note that there is a Pitching Coach available
⦁ Pitching Machines are available for use
Concession Stand
⦁ The biggest issue is the need for volunteers to run it
Field Maintenance
⦁ Dugout - needs to be raised to prevent flooding/ drain backup
⦁ Need for volunteers to help prepare fields at beginning of each season (debris, weeds, etc.)
⦁ Determine if fields can be sprayed prior to winter
Spring Registration
⦁ Place Signs and prepare Handouts for Elementary Schools in November
Meetings/Communication
⦁ The need for more frequent Meetings and better communication was expressed - It was determined that this would be implemented utilizing the Organization's website
⦁ Discussed where Indoor Meetings could be held over Fall and Winter
Volunteers
⦁ Volunteers have been an ongoing issue...Discussed the need to get more parents involved
